Certificate of search

When you view your list of Registry of Deeds search results, you will have the option to view a Certificate of Search.

This will list all of the search criteria that you entered to obtain the list of results, followed by the results themselves.

If your search returned more than 90 results, you see the first 90 for a single fee.  You must then pay a further fee for the next set of 90 results (and so on until the results have all been viewed).  Your certificate will only show the results you paid to view when you carried out the search.  If your search returns 150 results, for example, but you then chose to pay only to view the first set of 90 results, your certificate will state 'Showing 90 of 150 results'.  This makes it clear that you did not view all of the available results for your search.

You can revisit old search results, but you cannot amend them, or choose to view additional results that you did not pay to view when you first carried out the search.  The Certificate will make it clear how many results you actually paid to view, and how many you could have chosen to view, for an additional fee.

Each result will display the following information:

  • Memorial serial number:    the unique number endorsed on both the memorial and the deed to which it relates at the time of registration.
  • Grantor:  the party to a deed to whom a legal interest has passed
  • Grantee:  the party executing a deed to pass a legal interest
  • County:  the administrative district in which the property is located. An entry of 'ND' in this column represents 'No Denomination', indicating that the charge relates to properties and land currently held by or which the party may acquire in the future
  • Adjusted:  if a record has a reference in this column, this indicates that it has been adjusted by the Registry in the period since registration
  • Vacate Information:   includes the date of registration of the vacate, the number allocated by the system to the vacate transaction and the date of satisfaction (the date on which the charge or debt was paid off).
