Ordering copies of instruments

Note that if you are using Landweb direct at the Public Counter within the Land Registry and you are paying by cash or cheque, you will be unable to request copies using the system.  Instead you should request copies from the cashier.
 

To access the Copy Request service

  • When you carry out searches to find a folio (via a folio search, address search or via the map), you will be able to 'Request copies' for that folio.  You will then be forwarded to the 'Request copies of folios, maps and instruments' screen.  The screen will be prepopulated with the details of the folio you have been using.

OR

  • You can select 'Land Registry' from the Services menu, and select the 'Request copies' option shown on the Land Registry screen. You will then be forwarded to the 'Request copies of folios, maps and instruments' screen and will need to enter details of the folio related to the application.

 

On the 'Request copies of folios, maps and instruments' screen you can choose between an Uncertified copy instrument or a Certified Copy Instrument. Certified copies are admissible as evidence in court, uncertified copies are not. 

Certified copies can only be delivered via post.  Uncertified copies can be delivered by post or electronically 

Electronic delivery of a copy instrument

In order to request electronic delivery of a copy of an instrument related to an application, you must know the full reference of the instrument.  This consists of the application number plus an instrument letter, typically in the form of Application Year/Application Number/Document letter.  The Instrument Reference MUST be entered correctly, as there will be no checking against the Folio Number you supply.

You will be informed via email when an electronic copy is available for download within Landweb direct. The email will automatically be sent to the address you have registered with Landweb direct, unless you edit the address shown in the box provided.  

You will be asked to supply details of the document, plus details of the registered owner and a document description.  If your Instrument Reference does not follow the format shown on this screen, you should request postal delivery of the instrument. You will then be able to enter the Instrument Reference in any format.

It is not possible to request electronic delivery of ANY instruments from applications submitted to Land Registry earlier than October 2004. Applications lodged after this date up until December 2007 have limited availability for electronic delivery.

Sometimes it is not possible to deliver a requested document electronically.  It may be too large, for example.  In such cases, you will be advised that delivery will take place via post, instead.

There are other circumstances under which you may request electronic delivery and it cannot be detected straight away that the delivery request cannot be fulfilled.  In this situation, you will be notified by email that electronic delivery was not possible and the copy will be processed in the usual manner at Land Registers and dispatched to you by post.  This message will include the application number

Postal delivery of a copy instrument

If you require a Certified copy or you do not know the full document reference, you may submit an application for postal delivery.  You will be asked to supply extra information to support the document details.

Delivery of your copy request

•    If you have requested electronic delivery, you will be notified via email when the copy is available for download
•    If you have not requested electronic delivery, or the option was not available, a message will be displayed and the copy document will be posted to you by Land Registers.
